  1. Club and competition sources Dates come from the people or compatible systems that manage them.
  2. Club and team calendars One club calendar and one calendar for each team.
  3. Calee Connects families to the calendars relevant to them.
  4. Parent phones Club dates appear beside school, work and family commitments.
  5. Shared home display Upcoming commitments stay visible to the household.

One club. Many teams. Many dates.

A community club can include multiple teams across age groups and divisions, with coaches, team managers, committee members, volunteers, players and families relying on the same dates. Those dates may be spread across registration systems, competition systems, email, social posts, documents, team messages and the club website.

Dates are spread across different places

Families may need to check several channels to piece together one weekend.

Club-wide and team-specific dates need their own calendars

Use the club calendar for dates relevant across the club, and give each team its own calendar for matches, games and training sessions.

Families manually re-enter information

Parents copy relevant dates into personal or family calendars, one event at a time.

Volunteer administrators repeat information

Committee members and team managers may repeatedly answer date, time and location questions.

The goal is not another channel to check. It is a clear calendar structure for the dates the club already communicates, connected to the place families plan their week.

A club calendar, with one calendar for each team

Rather than one long list of dates, the club maintains an organised set of clear calendars. Club-wide dates sit in the club calendar, and each team’s dates sit in its own team calendar.

  • Club calendar Dates relevant across the club
    • Team calendar MiniRoos
    • Team calendar U14s
    • Team calendar Women’s team
    • Team calendar Masters
    • More team calendars — one for each team in the club

Clear, concise calendar names work best. A team calendar’s name does not need to repeat the club name, and its identity is not tied to a particular year or season.

What belongs in the club calendar

  • Registration dates
  • Club events
  • Season events
  • Fundraising activities
  • Volunteer information
  • General dates relevant across the club

What belongs in a team calendar

  • Matches or games
  • Training sessions
  • Team events
  • Arrival information
  • Venue details
  • Revised event information
  • Supporting match documents on relevant events, where attachments are enabled

Families follow the club calendar and the team calendars relevant to their players rather than receiving every date across the club.

Event attachments

Share supporting match documents

Where event attachments are enabled, authorised club users can add supporting files to a relevant club or team calendar event. These might include a score sheet photo, results PDF, ladder update, team sheet or match report.

In the Calee mobile app the file can come from the camera, the photo library or a file picker, and the attachment can be opened, shared or removed afterwards, according to the permissions that apply to that calendar.

Attachments remain files linked to the event. Calee does not interpret the scores in a document, calculate a competition ladder or automatically publish the file to a public club webpage.

If a club wants selected attachments presented on its public website, that can be scoped as a separate website calendar implementation.

Event attachments are available only on supported, writable Calee-managed calendars and depend on the calendar type, account permissions and enabled product configuration.

From the club calendar to the family home

Five steps connect the dates the club already manages to the phones and shared display a family actually looks at.

  1. Dates are maintained at the source

Dates may be maintained by the club, a team manager or a compatible competition source.

  2. Dates are organised into calendars

Club-wide dates belong in the club calendar. Team-specific dates belong in the relevant team calendar.

  3. Families follow relevant calendars

Families connect to the club and team calendars relevant to them using the agreed sharing method — a calendar link, a QR code, account-specific sharing or the club’s onboarding instructions.

  4. Revised information remains connected

When a source event changes, subscribed calendar views can receive the revised information without the family manually re-entering the event. Subscription updates may take some time.

Clubs should continue using their normal direct communication channels for urgent cancellations, venue changes or other time-sensitive information.

  5. Dates become part of family life

Relevant club and team dates appear beside school, work, appointments and other family commitments in Calee.

The Calee model

A clear club calendar. A calendar for each team. The relevant dates visible to families at home.

One family can follow several teams

A household with two or three players may span several teams, age groups — and sometimes more than one club or sport. In Calee, the family follows each relevant calendar once. For example:

From the club calendar, the household also sees:

  • Club events such as registration days and fundraising activities
  • Volunteer commitments the family has agreed with the club
A Calee display in a family home showing the household's upcoming events
Match days, games, training sessions and club events sit beside school, work and household dates in the family calendar view.

Each event retains its source calendar identity, while the family sees the relevant dates together in its family calendar view.

Families can use the Calee mobile experience on its own. The shared Calee display is optional and adds household visibility, so upcoming dates can be seen without anyone opening an app.

See what is happening across all teams

Where a club needs it, Calee can scope a combined calendar view using the club and team calendars included in an agreed implementation. The available layout and information depend on the club’s source data and website requirements.

Works alongside your club’s existing process

Calee does not need to replace the club’s registration, competition or communication systems. It provides a calendar connection between the club and the family home.

Possible implementation approaches

Confirmed with the club during setup:

  • Existing compatible calendar feeds
  • ICS imports
  • Managed club and team calendars
  • Account-specific calendar sharing
  • Published read-only calendar links
  • Existing suitable date information prepared for import

What that means in practice

How the pieces behave once they are connected:

  • Connected external calendars are read-only in Calee where applicable, so changes are made in the system that owns the event.
  • The club keeps running registration, competition entry and urgent communication the way it does today.
  • Authorised club users can attach supporting files to eligible Calee-managed events where attachments are enabled.
  • Public website display of selected attachments requires a separately agreed website implementation.
• Compatibility depends on the club’s existing source information and the sharing options available.

A practical setup for volunteer-run clubs

Each stage is agreed with the club first, so the work stays proportionate for the volunteers doing it.

  1. Review the club structure

Look at the teams, age groups, divisions and the dates the club already manages across the season.

  2. Define the club and team calendars

Agree what belongs in the club calendar and confirm a separate team calendar for each participating team.

  3. Agree on calendar names

Short, clear team calendar names work best. Names do not need to repeat the club name or a particular season.

  4. Prepare existing dates

Gather suitable existing date information so matches, games, training sessions and club events land in the right calendars.

  5. Start with selected teams

Begin with one age group, division or group of teams rather than the whole club at once.

  6. Provide family instructions

Give families simple instructions for following the club and team calendars relevant to them.

  7. Review before the next season

Check calendar names, team changes and family uptake before the new season starts.

If the club intentionally retains the same underlying team calendar, it may update its visible name when the team’s age group or division changes. If a replacement calendar is created, families need to follow the new calendar.

Renaming alone may not preserve every connection across every external system, so season changes are worth planning deliberately.

Examples for different club structures

The same club and team calendar model can be adapted to different sports and competition structures.

Example structure

Community soccer club

Teams across junior and senior age groups and divisions, from MiniRoos to seniors, with coaches and team managers looking after match days and training sessions.

  • Registrations, fundraising and club events in the club calendar
  • Match days, matches and training sessions in each team calendar
  • Canteen rosters, bar rosters and other volunteer roles on match days, where the club chooses to calendar them
Example structure

Community baseball club

A baseball club with multiple teams, supported by a committee and volunteers, with games, training and club events through the season.

  • Club events and season dates in the club calendar
  • Games and training in each team calendar
  • Volunteer commitments visible when the club chooses to calendar them

These examples are illustrative and do not identify or imply endorsement by a particular club.

Designed for Australian clubs and families

Calee provides an Australian-operated calendar service with local support, and access options the club can match to its own sharing preferences.

How calendar access works

  • External calendar access is read-only where applicable
  • Account-specific sharing available where appropriate
  • Published read-only calendar links available where appropriate

The club chooses which calendars to share and whether to use account-specific access or a published read-only calendar link.

A published calendar link can be forwarded, so clubs should use account-specific access when tighter audience control is required.

Frequently asked questions

Does Calee replace our registration or competition system?

No. Calee is not a registration, competition-management, scores or results product. It complements the club’s existing registration, competition and communication processes by connecting relevant club and team calendars with the family’s everyday calendar.

Can each team have its own calendar?

Yes. The model is one club calendar for club-wide dates, plus a separate team calendar for each team. Short, clear team calendar names work best, and a name does not need to repeat the club name or a particular season.

Can families follow more than one team?

Yes. A family follows the club calendar and each team calendar relevant to its players — including teams in different age groups, divisions or even different clubs. Each event retains its source calendar identity in the family calendar view.

What happens when an event, match or game changes?

The date should be revised in its source calendar. Subscribed calendar views can then receive the revised information without the family manually re-entering the event, although subscription updates may take some time. Clubs should continue using their normal direct communication channels for urgent cancellations, venue changes or other time-sensitive information.

Can we start with selected teams?

Yes. Many clubs prefer to start with one age group, division or group of teams, review how it works for families and volunteers, and then decide whether to extend it across the club.

Can Calee support a view across all teams?

This can be scoped as part of a club calendar implementation. The available view depends on the club’s calendar sources, the information they contain and the website requirements. Families can still follow only the individual calendars relevant to them.

Can we upload score sheets, results or ladder updates?

Where event attachments are enabled, authorised users can add a photo or document such as a score sheet, results PDF, ladder update, team sheet or match report to a supported, writable Calee-managed calendar event. In the Calee mobile app the file can come from the camera, the photo library or a file picker, and can be opened, shared or removed afterwards. The attachment remains a file linked to that event.

Calee does not read the score from the file, calculate a ladder or automatically publish the attachment to the public club calendar. Public website presentation can be scoped separately.

Can a team calendar continue into the next season?

If the club intentionally retains the same underlying team calendar, it may update the calendar’s visible name when the team’s age group or division changes. If a replacement calendar is created instead, families need to follow the new calendar. Renaming alone may not preserve every connection across every external system, so it is worth planning season changes deliberately.

Do families need a Calee display?

No. Families can use the Calee mobile experience on its own. The shared Calee display is optional and adds household visibility, so upcoming club, team, school and work dates can be seen in the home without anyone opening an app.

How are calendars shared with families?

The club chooses which calendars to share and whether to use account-specific access or a published read-only calendar link, supported by onboarding instructions or a QR code. A published calendar link can be forwarded, so account-specific access is the better option when tighter audience control is required.

Can Calee use our existing calendar information?

Often, yes. Depending on the club’s systems, options include existing compatible calendar feeds, ICS imports and suitable existing date information prepared for import. Compatibility depends on the club’s existing source information and the sharing options available, so the approach is confirmed with the club during setup.
